1. Personal data we process
In connection with a transport enquiry or booking, we may process the booker’s and passenger’s name, title, telephone number, email address, company name, journey addresses, date and time, flight number, luggage and vehicle requirements, payment method, billing details, internal company references and any information entered in the notes field.
For Corporate Smart Booking, we also store user profile details, saved passengers, saved addresses and booking history so that future bookings can be completed more quickly.
2. Purposes and legal bases
- handling enquiries and entering into and performing a transport contract;
- communicating before, during and after the journey;
- organising transport, monitoring flights and providing drivers with necessary details;
- invoicing, accounting and compliance with legal obligations;
- protecting legal claims and securing the booking system;
- for Smart Booking, maintaining the account and simplifying future bookings.
The legal bases are primarily taking steps at your request before entering into a contract and performing the contract, compliance with legal obligations, and the controller’s legitimate interests in proper operation, security and protection of legal claims. Ticking the box in the booking form confirms that you have read this policy; it is not consent used in place of another appropriate legal basis.
3. Recipients
Where necessary, data may be disclosed to drivers and other persons arranging the transport, web-hosting and email-service providers, accountants or tax advisers, and public authorities where required by law. The system uses Google Maps Platform for address suggestions and route calculations. Address queries entered into the form may therefore be transmitted to Google in accordance with Google’s terms and privacy policy.
4. Retention
Enquiry and booking data is kept for as long as needed to handle the booking and, as a rule, for no longer than 3 years after the journey, unless longer retention is necessary to protect legal claims. Accounting and tax documents are retained for the periods required by law. Corporate Smart account data is retained for the life of the account or until deletion is requested; information that must be retained by law or for legal claims may be kept afterwards.
5. Cookies and technical data
The booking system does not use advertising or marketing cookies. It may use only strictly necessary cookies and similar technologies required for form security, Corporate Smart login, maintaining the user session and proper operation of the application. These essential technologies do not require consent through a cookie banner.
6. Your rights
You have the right to request access to your personal data, rectification, erasure or restriction of processing, data portability where provided by the GDPR, and the right to object to processing based on legitimate interests. You also have the right to lodge a complaint with the Czech Office for Personal Data Protection.
